How To Set Up A Zoom Meeting

Covid has forced millions of employees to work from home rather than going to the office. During such situations, Zoom is a platform that is covering the communication gap and allowing people to communicate on daily basis.

The best part is that you don’t even need to create an account to join a meeting. The only thing you will need is a stable internet connection. For instance, if you live in a rural area where you don’t have fiber or cable internet, you can get a DSL connection via CenturyLink internet and it will work great on that.

Therefore, if you are working from home or need an application for staying in touch with your family or friends, Zoom is the go-to platform for that.

In this article, we will learn about setting up zoom meetings. However, before we get to that, let’s have a look at how to download it first.

How to Download Zoom on Your Computer?

Although downloading Zoom is not necessary to be a part of meetings, it is great to download the Zoom client if you want to host meetings.

To download the Zoom client on your computer, simply head to the Zoom download center and locate “Zoom client for meetings”. Under that tab, you will see the download button. Click that button, choose the location where you want to download the client and click save.

Once it is downloaded, run the file to begin the installation process. When the installation process is complete, it will automatically open Zoom and give you the option to log in using an existing account or sign up for a new account.

How to Set Up a Zoom Meeting?

Setting up a Zoom meeting is very simple through the Zoom client. All you need to do is to start Zoom and click the orange button saying “New Meeting”. After selecting that, it will take you to a virtual conference room where you will be given the option to invite people to the meeting, manage participants, share screen, and many more.

To invite people to your zoom meeting, select the invite button and choose the contact person you want to invite (this is an option for those who already have contacts in their list). In case you are doing it for the first time, you will have to switch from the contacts tab to the email tab in the popup window.

Select the email service provider that you want to use to send the invitation email. Enter the email address of the person and send. As an alternative, you can also copy the meeting URL and share it via WhatsApp or even Slack. For safety, Zoom also allows users to set passwords for their meetings so that no one else can join the meetings and listen.

During the meeting, Zoom will allow you to share your screen with other participants along with recording the whole video. This is a great option for those who want to share a plan or need to share the details on how to do something.

Once the meeting is over, you can select the “End Meeting” button in the bottom right corner and close the window.

How to Join another Person’s Zoom Meeting?

Joining a Zoom meeting is probably among the easiest things to do these days. You don’t even need to download the Zoom client to be a part of a meeting. The meeting host will just have to share the link with you. Once you click the link, it will automatically redirect you to the meeting.

In case the meeting is password-protected, the host will also have to send you the password to enter the meeting. If you don’t have the password, you can’t join in.

If you have the Zoom client installed on your laptop, you can also copy the meeting link and paste it into the join tab in the client. If you have no good laptop, then you may also check best laptop for zoom.

Can I Schedule a Zoom Meeting?

Other than hosting a meeting or joining someone else’s meeting, Zoom also allows its users to schedule meetings in the fastest and easiest possible way. To schedule a Zoom meeting, sign in to your zoom account and select the “Schedule” button.

After that, it will ask you to enter details such as meeting name, start time and duration, time zone, audio, and video options, and meeting options. Here you can set up a password and allow users to join with or without video. Once done, the invitations can be shared with calendar apps such as iCal, Google Calendar, or any other calendar of your choice.

As soon as users hit schedule, Zoom schedules that meeting and allows users to copy the invitation and share it with the participants. The invitation includes several ways to join the meeting including a meeting link, phone number, or other options such as the meeting id.
